We are a family-owned and operated landscape contracting company that specializes in exceeding our client's expectations in Gainesville, Florida. We’ve been in business for over a decade, are financially sound, and are in the process of expanding. We need an office manager to help us continue our growth.

The position involves Accouts reievable and payable through Quickbooks, customer service, payroll, human resources, and project management (from the office). The project management portion of the job is for the new team member to make sure our landscape enhancement and subcontracted jobs run smoothly from start to finish. 

Organization and communication are the watchwords around here, to keep the owner, employees, subcontractors, and (most importantly) the clients on the same page at all times. MAJOR RESPONSIBILITIES INCLUDE:

-Managing the administrative side of our landscape installation division from creating proposals, to answering clients questions about the proposal, to scheduling the job, ordering the materials, creating the job folder for the crew, scheduling the utility locates, and making sure the job is completed successfully before billing it out.

-Manage the subcontracting division of the business from vetting the subcontractor, obtaining quotes, sending the proposal to the client, managing the schedule after proposal is approved, and billing it out and paying the subcontractor once it is successfully completed.

- Accounts Payable and Accounts Receivable through QuickBooks

- Determine SPH (sales per hour) for each job

- Weekly payroll through QuickBooks

-Human Resources - Managing on-boarding process for new hires which includes scheduling drug screens, background checks, DMV screening, and scheduling training and orientation.

SKILLS AND EXPERIENCE:

- Demonstrated proficiency with Microsoft Office - specifically Excel

- Demonstrated proficiency with QuickBooks

- 3 years of bookkeeping experience - Accounts Recievable, Accounts Payable

- Ability to succeed in fast-paced multitasking environment

- Excellent computer and technology skills to keep us ahead of the curve

- Ability to get to the root of the problem while conversing with the client to make sure they're served well

- Associates or Bachelors degree a plus

- Ability to type 35+ words per minute

- Ability to pass a background check and drug screen
